Terms & Conditions

These Terms & Conditions apply to all services provided by Virtually By Your Side ("we", "us", "our") to the client ("you", "your"). By engaging our services, instructing us to proceed, or paying an invoice, you agree to be bound by these Terms & Conditions.

1. Our Services

We support ambitious female founders through two core offerings, the specific details of which will be confirmed with you in writing (via email or a formal service agreement) before work begins:

  • Strategic Business Support (Monthly Retainer): Ongoing, flexible administrative, customer support, and operational coordination.

  • The SCALE Framework Audit: A comprehensive, one-off operational assessment designed to identify business gaps and deliver a 90-day priority roadmap.

2. Fees, Commitments, & Payments

2.1 Strategic Business Support (Monthly Retainer)

  • Hourly Rate & Minimum: Ongoing support is charged at a flat rate of £30 per hour, subject to a minimum commitment of 10 hours per calendar month (equivalent to a minimum of £300 per month).

  • Upfront Retainer Deposit: Before any work begins, an upfront deposit of £150 is invoiced and payable. This is not an extra fee; it is held on account and will be credited against your final invoice when the working relationship ends, provided all payment terms have been met.

  • Invoicing in Arrears: At the end of each calendar month, you will be invoiced for the total hours worked during that month (subject to the 10-hour minimum commitment). Any additional hours requested and approved above your baseline will be captured on this same end-of-month invoice.

  • Unused Hours: The time you purchase is reserved exclusively for your business. Unused hours from your minimum commitment do not roll over to the following month.

 

 

2.2 The SCALE Framework Audit

  • Investment: The SCALE Framework Audit is a flat investment of £995.

  • Payment Terms: The audit fee must be paid in full before the pre-audit questionnaire is issued or the strategy sessions are booked. Once work or preparation has commenced, this fee is non-refundable.

 

 

2.3 General Payment Terms & Policies

  • Terms: Invoices are payable within 7 days, with potential service pauses for late payments, and prices exclude VAT where applicable.

  • Client Responsibilities: Provide timely access and info; advisory scope is operational and non-financial/non-legal.

  • Termination: Ongoing support requires 30 days' notice (minimum commitment applies; deposit credited at close), and audits require 48 hours' notice to reschedule.

  • Legal & Governance: Covers standard confidentiality, UK GDPR compliance, limitation of liability capped at fees paid, and governance under English and Welsh law.
